General board member duties:
All adult volunteers at the school must pass the Beaverton School District Background check requirements. Board of Director Volunteers must also pass a Criminal Background check as outlined in the current Policy and Standards.
- Manage cash box at PTM sponsored events involving cash handling
- Outreach efforts including PTM presentations and helping at events
- Inclusion efforts including coordinating translators, childcare, etc.
- Assist in event planning and promoting
- Review and update budget annually
- Review bylaws annually
President
- Time commitment – Heavy all meeting + events
- Oversees and coordinates the work of an executive board to run a PTM effectively
- Facilitate monthly board and general meetings
- Meet monthly with McKinley Principal
- Authority to Deposit funds / Issue payments
- Review monthly audit
- Manage main email account
Vice-President
- Time commitment – as needed to complete duties
- Assist the President and, in the absence of the President, perform the duties of the President.
- Conduct monthly audit
- Authority to Deposit funds / Issue payments
- Monthly and year end audit and final report
- Helps lead a PTM towards specific goals consistent with PTM purposes and policies
Secretary
- Time commitment – Medium – most meetings + as requested for activities and events
- Transcribe during board and general meetings
- Distribute notes to board and general membership
- Maintain PTM bulletin board
- Manage PTM social media and website
Treasurer
- Time commitment – Medium as needed to complete duties
- Maintain financial records & reports in an organized and consistent manner.
- Authority to Deposit funds / Issue payments
- Conduct monthly & annual audits for the PTA Board and General Membership meetings
- Update & maintain laptop & QuickBooks
Spanish Liaison
- Time commitment – Limited/ Medium – most meetings + as requested for activities and events
- Represent voices and interest of Spanish-speaking families
- Assist in increasing accessibility for Spanish-speaking families to participate in events and other opportunities
- Act as liaison between Spanish-speaking families and board members/coordinators
- Assist with PTM communications in Spanish
Member at Large
- Time commitment – Limited – Heavy depending on the tasks taken on; attend some meetings + as requested for activities and events
- Provide general support
- Choice of focus (Example: Family Nights Out, fundraising solicitations, employee matching programs, social media – etc.)
Teacher Representative
- Communicates with the President monthly to provide feedback and receive updates
- Not responsible for board duties, including attending general and board meetings
Volunteer Coordinator
- Manage and maintain volunteer access system
- Maintain volunteer email account
- Manage volunteers at events
- Works with the BOD, principal, and teachers to coordinate volunteer assignments at the school
- Over sees volunteer recruitment and develops and manages volunteer opportunities
